payroll administration review & partnership with system owners
Payroll administration review
 |
Vital.org’s Payroll and Claims team conducted a “MFA payroll administration review” which turned out to be a customer-noteworthy project. A core team at Vital.org came together to go through thousands of historical payroll transactions to address the errors and lapses over a few months. The project which took several months to complete reduced the number of errors and lapses by over 90% (less 633 errors) in just 6 months. Head PAC, Ms Selvarani said, “The team worked round-the-clock, sacrificing leave, family time and weekends and with the support from HRS and our Account Manager, we helped drive a better outcome for our customer who appreciated our efforts.”

The team also put in place additional supervisory checks including a quality assurance team. The team effort demonstrated the Vitalite determination and commitment. The project also celebrated teamwork and interdepartment cooperation. More importantly, we fulfilled our mission of giving customers peace of mind and improving work efficiency.
Partnership with system owners
| Vital.org collaborated with AGD to work on a series of system enhancements in Pac@Gov and NFS@Gov. The benefits are plentiful, with some 22,000 manhours saved annually. A case-in-point: all direct e-invoices and PO e-invoices for several statutory boards are now processed electronically. Since Oct 2009, all medical claims submitted by officers on MSO Medical Scheme no longer needed to be verified since the unused subsidy balance is transferred annually to their Medisave accounts. This change saved both MOE and Vital.org roughly 1,400 manhours each annually. Vital.org also worked with PSD to enhance Careers@Gov over 2 phases in Sep 09. |
 |
Vital.org has also embarked on the HRMS journey with PSD for a new HR integrated system to take place mid next year. We also worked with system owners to enhance PM2S and Pac@Gov systems to reduce the turnaround time for processing of 1st pay packet of new appointees to one day. Other initiatives and process improvement include:
- Standardize the format for contract graduity computation;
- Streamline the contract renewal processes for trained and foreign teachers;
- Enhance medical screening procedure;
- Improve the briefing procedures on pension options for retiring officers;
- Streamline leave system approval levels to reduce system updating time;
- Customize fixed asset management; and
- Crisis management in coordinated travel management programme
